Inviting Team Members to Your Organization

This guide explains how administrators can invite team members to join their Propamp.ai organization and manage user permissions.

Understanding Team Member Access

Propamp.ai’s organization-based account system allows you to:

  • Invite multiple team members to your organization
  • Assign different permission levels to each team member
  • Maintain centralized control over account access
  • Enable team collaboration while maintaining security

Finding the Invite and Manage Section

To invite team members:

  1. Log in to your Propamp.ai account as an administrator
  2. Navigate to the dashboard
  3. Click on user icon in the bottom-left corner
  4. Select “Settings” from the dropdown menu
  5. Click on the “Invite & Manage” tab in the left sidebar

Inviting New Team Members

To invite a team member:

  1. In the “Invite & Manage” section, click the “Invite Members” button located on the upper right corner
  2. Enter the team member’s name and email address
  3. Select an appropriate role for the team member:
    • Admin: Full access to all features and settings
    • Manager: Access to most features but limited settings control
    • Analyst: Access to data and reports without modification privileges
    • Viewer: Read-only access to dashboards and reports
  4. Customize access permissions (optional):
    • Financial data access
    • Inventory management access
    • Marketing data access
    • Order management access
  5. Add a personalized message (optional)
  6. Click “Send Invitation”

Note: You can send up to 5 (five) invitations at a time.

Managing the Invitation Process

After sending invitations:

  1. Pending invitations appear in the “Pending Invites” section
  2. Team members receive an email with an invitation link
  3. Upon clicking the link, they can create their own Propamp.ai account connected to your organization
  4. Once they accept the invitation, they move from “Pending Invites” to “Active Users”

Note: Invitation links expire after 48 hours for security purposes. If a team member doesn’t accept within this timeframe, you’ll need to send a new invitation.

Managing Team Member Access

As an administrator, you can manage team member access at any time:

  1. In the “Invite & Manage” section, navigate to the “Active Users” tab
  2. Find the team member you want to modify
  3. Click the “Manage Role” button next to their name
  4. From here you can:
    • Change their role
    • Modify specific permissions
    • Reset their password
    • Disable or enable their account
  5. Click “Save Changes” to apply your modifications

Removing Team Members

To remove a team member from your organization:

  1. In the “Active Users” tab, find the team member
  2. Click the “Remove” button next to their name
  3. Confirm the removal when prompted
  4. The team member will receive an email notification that their access has been revoked

Important: Removing a team member immediately revokes their access to your organization’s Propamp.ai account. Any unsaved work they may have in progress will be lost.

Best Practices for Team Management

  • Assign appropriate roles: Give team members only the access they need to perform their job functions
  • Review access regularly: Periodically audit who has access to your account and adjust permissions as needed
  • Utilize role-based permissions: Instead of customizing permissions for each user, try to standardize roles for different job functions
  • Document your permission structure: Keep a record of which team members have which levels of access for future reference

Troubleshooting Invitation Issues

If team members report problems with their invitations:

  1. Check that the email address is correct
  2. Verify the invitation hasn’t expired (after 48 hours)
  3. Ask them to check their spam/junk folder
  4. Resend the invitation if necessary
